The Challenge #
In this case, we received a chat from our client from one of the journal managers at Gadjahmada University Indonesia, they asked for our help to improve some technical matters related to their journal site, while some of their complaints were related to the site they were using, namely OJS 2.
Before they used hosting services on openjournaltheme, they used Cpanel for their journaling site. They complain that access to their site is sometimes very long and users who visit their site complain of the same thing, then the Cpanel does not do daily backups regarding all files on OJS, this is of course very unsafe for your journal, considering Cpanel / Web servers can go down at any time and when they do it’s a very bad dream when you don’t have a recent backup of your journaling site. At openjournaltheme hosting managed we provide the daily backup application for free as long as you subscribe to use our service.
The detail of the problem in the journal and how we solve it : #
1. Help OJS2 Upgrade #
The journal manager also wants to upgrade the journal on their site for several reasons to increase features, then the upgrade process is carried out to improve the appearance of their journal so that it can be more responsive.
How did we fix it?
We did the process of upgrading the journal from OJS 2.4.x to the latest version at that time, namely OJS 3.3.0.8, Then after the OJS upgrade process we also ensured that all functions in OJS can run properly. such as the article submission process, DOI registrant, we also ensure that the results of the OJS upgrade do not miss the new important improvement and bug fix from the new version and lastly we also ensure articles still get indexed by indexing database.

2. Support DOI Fixing #
Previously the Jims journal had problems with depositing DOI in their articles, there were a few things that needed to be re-settled. Because at the same time the journal editors at journal Jims have very busy schedules and activities so they don’t have time to handle problems that occur in DOI in their journals.
How did we fix it?
With the experience of the openjournaltheme team, after we diagnosed the DOI problem that occurred in the JIMS journal, it turned out that the deposit on the account had not been successful, and we helped the Jims journal to solve the problem.
3. Customizing the front page OJS site #
Due to limitations in OJS 2 which is not responsive and in OJS 2 also has very limited display options, so the editor team has problems making the front page display responsive and has a design that can be adjusted to the journal character.
How did we fix it?
With a limited selection of default OJS themes, journal Jims wanted an OJS theme that has character to their journal content with some of the essential features of journaling, such as google scholar citation. that’s why we provide Academic_Pro + full implementation theme services.

4. Indexing Assistance Support #
The Jims journal has a few problems related to the indexing article process on the Copernicus index, they have a little difficulty uploading the XML file if the process is done manually one by one.
How did we fix it?
We install the exclusive OJS plugin that we made to make it easier for your journal related to the process of submitting articles to the Copernicus index. Then we also provide detailed documentation related to using the plugin and of course, our support team will always make sure that the plugin works very well. With this plugin, all issues can be exported and then imported into Copernicus with minimal risk of data input errors.
The result #
With some of the services that we provide related to OJS functions, Jims Journal can fully rely on all OJS related problems to the openjournaltheme team, and after we carried out an intensive work process, we managed to complete 100% of the work with several tasks requested by Jims.
Depending on their server needs, the openjournaltheme can immediately deploy additional resources and new servers in our Hosting infrastructure, and we also set up daily backups for the disaster recovery plan process on the Jims site, without having to set up or operate their own on-premises datacentre for backup plans.
By using the exclusive Copernicus Index by openjournaltheme plugin, the journal is greatly helped by the ease of indexing process on the Copernicus index. With this plugin, it can greatly facilitate the indexing process in the future.
