As the owner of the OJS Journal. We definitely want to publish our articles / other people’s articles.
Or you are in the role of a Journal Manager or Journal editor or production editor who wants to publish an article on OJS.
Either you don’t know or want to know more about publishing a journal on OJS so you searched on google and found this tutorial.
So, here I will show you 2 ways to publish an article in OJS 3. i.e. :
Notes before starting:
- You need a “Back issue” of at least 1 piece. If not, you can follow this tutorial.
- Publish articles in General way
- 1. Choose the articles you want to check / publish
- 2. “Submission” step, assign an editor
- 3. “Review” step, assign a reviewers
- 4. “Copyediting” step, assign a copyeditor (optional)
- 5. “Production” step, prepare articles for publication
- Publish articles using “Quick Submit Plugin”
Publish articles in General way
So, for this way. We will use the general way of publishing articles in OJS. Where an article will go through the workflow process to check whether the article / journal is decent for publication or not.
The advantage of using this process is that you can check the authenticity of the author’s articles and others.
The disadvantage, this may take a long time due to the workflow process to check whether the article is decent for publication on your OJS journal site.
1. Choose the articles you want to check / publish
Firstly, go to the OJS Dashboard (Profile > “Dashboard”). Once on the Dashboard page, go to the sidebar menu Submissions then select “Unassigned”.
Later, there will be a list of articles that are still in the Submission stage / have just submitted article submissions. Then you look for the article you want to check / publish, select “View Submission”.
2. “Submission” step, assign an editor
After you click “View Submission” on the article you want to check. later will be redirected to a workflow page.
In the Submission Workflow, we have to assign an editor to be able to continue the next workflow stage. So, select the editor you want to assign to check the article.
Note: you only need to add at least 1 editor between the Journal editor, Section editor, and Guest editor. Or it could be more, it’s up to you.
Then select the role editor you want and then assign it to an editor. Then fill in the data below according to your needs and select “OK”.
And then you have 3 option.
- Send to Review : Review the article,
- Accept and Skip Review : Articles accepted without being reviewed,
- Decline Submission : Articles submitted are rejected / not accepted.
Since this is a tutorial, I will choose the “Send to Review” option. You can choose other options according to your choice for the article.
3. “Review” step, assign a reviewers
Once in the Review Workflow, you can add a reviewer by clicking “Add Reviewer”.
Choose the reviewer then “Select Reviewer”.
Select the Review type and then select “Add Reviewer”.
and a reviewer was successfully assigned. We need to wait for the results.
A few days later the reviewer gave a statement for the author’s article that it was ACCEPTED. But this is only an example, maybe some reviewers will give another statement.
Then, we have to choose 1 of 3 options.
But you, the OJS owner or editor, decide to choose even if the reviewer recommends “Accept the submission” or something else.
But again, I will choose “Accept Submission”. For you, you can choose the option according to your choice for the article.
Select the review file to share with the author and select “Next: Select Files for Copyediting”.
4. “Copyediting” step, assign a copyeditor (optional)
For the Copyediting Workflow. You can assign a Copyeditor to check the article, this is optional. If you don’t want copyediting, just click “Send to Production”.
Click “Assign” to assign a copyeditor.
Select the Copyeditor you wish to assign.
And the copyeditor was successfully assigned.
Again, we are waiting for the results from the Copyeditor to review the contents of the author’s article. And below is the copyedited result.
And when all is done, you can select “Send To Production“.
5. “Production” step, prepare articles for publication
Finally, we come to the final step, Publication. Where is the place to fill in article data (title, metadata, etc.) before fully publishing it.
So here I am only showing the parts that need to be filled in for the author’s article, others are optional.
Add contributor (optional)
To add someone / author. Go to Publication -> Contributors, and select “Add Contributor”.
Add meta data (optional)
To add meta data. Go to Publication -> Metadata, and enter the desired keywords.
Firstly, in Publication, select the Galleys menu. Then click “Add galley”.
After that, fill in the Galley label and the language. Then “Save”.
Later asked to upload the file, upload the author’s article file the same as the Galley label (here I filled it as a PDF, so I upload the file in .pdf format). You can upload the file format according to your galley label. And the result will be like the image below.
Firstly, in Publication, select the Issue menu. Then click “Assign to Issue”.
Then select the “Back Issues” you want to select then save.
Click “Publish” to confirm publication of the article.
Congratulations, the article has been successfully published on your OJS website!
Publish articles using “Quick Submit Plugin”
So besides the general way, there are other ways to publish articles quickly and easily, namely by using the “Quick Submit Plugin”
A short explanation of the advantages of using this plugin, you can immediately publish an article without having to do the workflow stage.
The disadvantage is that you cannot check the authenticity of the article or others. Unless you are sure about the article you want to publish, that’s okay.
1. Open your “Dashboard” page
Usually the dashboard page is in your account name in the top right corner.
If you are already on the dashboard page, select the Tools menu -> “Import / Export”
And then, select “QuickSubmit Plugin”.
3. Fill in the data info for the article.
Then you can fill in the data you want. Under the options below, there are “List of Contributor” and “Galleys”, which you can fill in for article publishing purposes.
If you want the article to have a cover, you can press “Upload” (Optional)
In this option you can not publish the article now or publish the article immediately.
if you are sure, you can select “Save”.
And the article was published successfully!
So, in a nutshell. If you want to check articles & publish them by checking their authenticity, sentences, etc. General way is good to use.
However, if you want an article to be published immediately without going through the workflow process, using the “Quick Submit Plugin” might be a good thing.
