As we know, since the release of OJS 3.4, there have been a number of significant updates and feature additions. This update not only improves functionality, but also changes the way DOI’s are configured and deposited into Crossref. Now, the DOI configuration system has been combined in one easy-to-access menu, the DOI Menu, which is located in the left sidebar on the OJS dashboard. Thus, users can easily find the option to set and deposit DOI’s to Crossref.
Table of Contents
For details on how to set and activate this configuration, see the steps below:
1. Go to the Distribution menu → DOI → Setup
2. Activate DOI and determine the items to which DOI will be assigned
3. Enter the Number Prefix
4. Setup automatic and DOI format
Next, switch to the “Registration” tab menu
5. Select “Agency” and activate automatic deposit if you want every article published to be automatically deposited to Crossref
6. Make sure the Depositor name and email correct
7. Then make sure, the username/role and password are filled in correctly.
For details on how to article Deposit, see the steps below:
1. Go to the DOI’s menu
2. In this menu, you will find a list of Registration categories
The following is an explanation of the 3 status categories:
Unregistered | Displays a list of all articles that already have doi but have not yet been deposited |
Submitted | Displays a list of articles that have been deposited but are still in the queue process. If the articles on this menu have been deposited but in the estimated 1-2 minutes there is no change, please try again and if it still fails, please check the error you received. |
Registered | Displays a list of all articles that have been successfully deposited. |
3. To make a deposit, please make sure each article has a DOI signed
4. Go to the submitted menu, then please select the article you want to deposit
5. Click “Bulk Action” → Deposit DOI’s
6. If the deposit process is successful, the submitted status article will change to Registered and will also be moved to the registered menu
7. Done
Depositing DOI Manually to Crossref Site
Here’s how to manually deposit a DOI to the Crossref site.
1. Go to OJS Dashboard > DOI
2. Get your article XML by click check on the article you want to deposit > Bulk Actions > Export DOI. (Repeat this step for each article for which you want to obtain XML one by one)
3. Wait until the loading process is complete (usually take around 2-3 minutes), if loading is complete then usually this XML file will be downloaded automatically in your browser.
4. After the xml export file has been successfully downloaded, please login to your Crossref account
5. After that, on the Home tab, please click upload submission
6. Then please upload the article XML file, then select the metadata, and click upload
7. Then wait for the verification process to complete
8. Normally, DOI will be successfully deposited or recorded in around 2 to 3 days, depending on the queue and the system that works on Crossref itself. So just be little patience during this process
9. Finished
